How to Hire a Private Party Bartender: Costs and Steps
In this guide

A private party bartender should make hosting easier, from planning the drinks to keeping the bar organized while you spend time with your guests. The best fit depends on what your venue already has, how many people you’re inviting and how much preparation you want to handle.

At BeeHive Mobile Bar, we offer bartender-only service and Bronze, Silver and Gold mobile bar packages. We’re based in Orange County, California, with Southern California service by arrangement. Every option is dry hire: you purchase the alcohol using our shopping list. The differences are the staffing, equipment and supplies included in your proposal.

What does a private party bartender cost?

BeeHive’s bartender-only service starts at $350 for two hours. Bronze starts at $750, Silver starts at $1,150, and Gold is quoted individually. Use the following as a starting point for comparing services; your event’s staffing, service hours, location and add-ons determine the final quote.

Service Starting price Minimum service time Staffing and guest guidance
Bartender-only service $350 2 hours Staffing tailored to your event and confirmed in the proposal
Bronze package $750 3 hours 1 bartender; recommended for up to 70 guests
Silver package $1,150 3 hours 2 bartenders; recommended for up to 120 guests
Gold package Custom quote 3 hours 2 or more bartenders; recommended for 120+ guests

Those guest counts are package guidance, not a promise of the same service pace for every menu. Beer and wine service, individually shaken cocktails and a crowd arriving together place different demands on the bar. Confirm the bartender count for your actual menu and busiest part of the party.

Extra hours and the optional mobile bar

Additional bartender-only time is $75 per started hour. Additional Bronze, Silver or Gold time is $100 per bartender per started hour. A partial additional hour is billed as a full hour; extensions require availability and written agreement.

You can add a mobile bar to bartender-only service for $150. This adds the mobile bar only. It does not add mixers, ice, coolers, drinkware, garnishes, a custom printed menu or other supplies and services.

Choose the service that fits your venue

Bartender-only is a separate service, not a package. It includes professional bartending, bar tools, setup and cleanup of the bartending work area, and a personalized shopping list. It can be a good fit when you or your venue already have the bar surface and supplies.

For a backyard birthday, check the setup before choosing on price alone. A sturdy work surface and a collection of glasses are a start, but you also need mixers, garnishes, ice, cold storage and a plan for replenishing supplies. If you would rather have those bar essentials provided, compare the packages.

What needs arranging? Bartender-only service Bronze, Silver and Gold packages
Bartending, bar tools, setup and cleanup Included for the bartending work area Included
Mobile bar Host or venue provides it, or add BeeHive’s for $150 Included; size and styling vary by package
Mixers, ice, coolers and garnishes Host provides them Included; standard or premium garnishes by package
Plastic glassware, napkins and straws Host provides them Included
Custom printed menu Not automatically included; discuss it when requesting a quote Included
Alcohol Host purchases it using BeeHive’s shopping list Host purchases it using BeeHive’s shopping list
Soft drinks and water Host supplies them unless an add-on is agreed Included in Gold; $3 per drink add-on outside Gold

For a 90-guest engagement party with no existing bar setup, Silver is a useful starting point for a quote: it includes two bartenders, three signature cocktails and a large mobile bar. Our guide to booking a mobile bar for hire explains the package options in more detail.

Real glassware can be provided by the host or venue. Confirm who supplies, collects and washes it; BeeHive’s standard package inclusion is plastic glassware. Decorations and venue furniture should also be agreed separately.

Compare complete budgets, including staffing

A lower starting price does not automatically cover the same event. These examples use four hours of bar service and assume the proposal uses the advertised starting rate. Alcohol, travel and any other agreed charges are separate.

Illustrative booking Calculation Service subtotal
A smaller party approved for bartender-only service at the base rate $350 for 2 hours + 2 × $75 additional hours $500
The same bartender-only booking with the optional mobile bar $500 service + $150 bar only $650
A 100-guest reception quoted at Silver’s starting rate, with 2 bartenders $1,150 for 3 hours + 1 extra hour × 2 bartenders × $100 $1,350

The $500 example is not a quote for serving the 100-guest reception. Silver explicitly includes two bartenders; bartender-only staffing must be confirmed for the event. Compare proposals with the same service hours, bartender count and responsibilities before deciding which offers better value.

Keep separate budget lines for alcohol, service, additional hours, supplies you must provide, alcohol-free drinks, travel or venue charges, and any optional tip. BeeHive’s tips are optional and appreciated; a tip jar requires client and venue approval.

National averages offer broad context, not a private-party quote. The Knot’s 2025 Real Weddings Study reports average wedding alcohol spending of $2,800 across the US. Your own shopping list, bottle choices and guest count are more useful for setting your event’s alcohol budget.

Add refreshments where they help

The Refreshment Station starts at $125 and is included in Gold. It is an add-on for the other packages.

A Slushie Machine starts at $215, with two gallons of one alcoholic or non-alcoholic signature slushie. Two flavors require a second station, and you provide any alcohol.

At eight fluid ounces per serving, two US gallons provide 32 servings before losses; the website’s approximate 30-guest guidance is not an unlimited-refill allowance.

Questions to ask before you book

  • How many bartenders will be there? Give the provider your guest count, menu and arrival pattern. Ask how the busiest period will be handled.

  • What exactly do we supply? Request an itemized list that separates alcohol, equipment, consumables and any venue responsibilities.

  • Which hours are paid bar service? Confirm service start and finish times, setup access, breakdown and the process for approving extra time.

  • How will the menu work for our guests? Share favorite drinks, allergies and alcohol-free preferences. Make water and appealing non-alcoholic options available to everyone.

  • What documents does the venue require? Check vendor approval, insurance documentation and any applicable alcohol-service requirements before paying.

  • What secures the date? BeeHive’s 25% deposit confirms the booking. Review the agreement, remaining balance and payment deadline at that stage.

Keep the alcohol arrangement clear

The California Department of Alcoholic Beverage Control explains that hired bartenders may provide service and equipment, while the host purchases the alcohol in advance. They cannot buy it for reimbursement or accept a prepaid order and deliver it to the party. BeeHive follows that separation: we help with the shopping list; you purchase and provide the alcohol.

Check the venue’s rules before booking, especially at a licensed venue or for an event involving ticket sales or alcohol sales. Licensed catering has a separate authorization process. The California ABC event-authorization instructions apply when that arrangement is involved; they are not a standard paperwork checklist for every host hiring a private party bartender.

Turn the menu into a shopping plan

Start with the number of adults who may drink alcohol, the bar’s service hours and the likely mix of beer, wine and cocktails. Plan water, mocktails and other non-alcoholic drinks for the whole guest list separately.

For example, 60 drinking guests over four service hours gives two planning scenarios in BeeHive’s calculator:

  • One drink per service hour: 60 × 4 = 240 drinks.

  • One per hour plus one extra for the whole event: 60 × 5 = 300 drinks.

These are inventory assumptions, not a recommendation for anyone’s consumption. They assume every counted guest follows the selected pace throughout the service window. Adjust for your actual guests and menu, and avoid counting a toast twice if it is already included in the total.

Choose the beer and wine percentages and the cocktail pour size—1.5 or 2 fluid ounces of spirits. The calculator uses a five-fluid-ounce wine serving and does not add a separate percentage reserve. For bottle-by-bottle examples, see how much liquor to buy for a party. Use the personalized shopping list to confirm the final purchase.

Assign the supplies before event week

Use a responsibility checklist so that every item has an owner. With a package, BeeHive provides the included bar supplies. With bartender-only service, the host arranges those supplies unless the proposal expressly adds them.

Planning item Who handles it? What to confirm
Alcohol Host Brands, bottle quantities, delivery to the venue by the host and where it will be stored
Mixers, garnishes, ice and coolers BeeHive with packages; host with bartender-only service Menu quantities, cold storage and replenishment during service
Drinkware, napkins and straws BeeHive’s package supplies or the host/venue Type, quantities and any glassware collection or washing arrangements
Bar location and access Host and venue, coordinated with BeeHive Working space, load-in route, setup time and electricity if the selected equipment needs it
Waste and venue cleanup Assign in advance with the venue and provider Bins, liners and collection; do not assume general venue cleanup or bins are included

Keep drink ice separate from ice chilling bottles and cans. Use a clean scoop or tongs, keep hands and used glasses out of the ice, and never transfer cooling ice into drinks. The FDA’s 2022 Food Code and 2026 Food Code both address this distinction in section 3-303.11.

If you are sourcing straws for a frozen drink, choose a suitable diameter and test them with that drink in advance. This supplier comparison can help you find paper straws for smoothies. Our mobile bartending supplies checklist helps organize the rest of the host-provided items.

A practical booking timeline

Use these as planning checkpoints, not guaranteed booking or payment deadlines. Your proposal and venue requirements take priority.

  1. When your date and venue are known: Ask about availability and share the guest count, service hours, event location and existing bar setup. Review the proposal and secure the booking with the 25% deposit.

  2. Two to three weeks before: Confirm the menu, bartender count, shopping responsibilities and any venue documentation. Review the balance deadline already stated in your proposal.

  3. About one week before: Update the guest count and shopping list. Confirm any allergies, toast plans, glassware arrangements and add-ons.

  4. The day before: Reconfirm access, setup timing, bar location, cold storage and the event-day contact. Make sure the host-purchased alcohol and any host-provided supplies will be ready when needed.

The right private party bartender fits both the celebration and the work you want to hand over. Share your date, guest count, location and service hours with BeeHive, and we’ll help you choose between bartender-only service and a mobile bar package. Request a personalized quote.
