Who brings the ice, cups, mixers, garnishes and bar tools? Answer that before you start shopping. A complete mobile bartending supplies list depends on your menu, guest count, service hours and the service you book.

For BeeHive events, you purchase the alcohol using our tailored shopping list. Our mobile-bar packages provide the bar and the listed package supplies. Bartender-only service includes professional bartending and tools, while you arrange the other supplies unless your proposal adds them.

What a Mobile Bartending Supplies List Actually Covers

Build your list around seven categories:

  • Drinkware: Cups or rental glassware suited to the drinks and venue rules

  • Mixers and garnishes: The juices, syrups, sodas and finishing ingredients your menu uses

  • Ice: Separate supplies for drinks and for chilling bottles or cans

  • Bar tools: Shakers, strainers, jiggers, openers and preparation tools

  • Disposables: Napkins, straws, stirrers and cocktail picks where needed

  • Sanitation and waste: Handwashing access, cleaning supplies and an agreed disposal plan

  • Storage and transport: Suitable coolers, covered containers and labeled dry totes

Mark each item as included, host-supplied or still to confirm. Add a person's name to anything the host or venue provides, so a shared responsibility does not become a forgotten item.

Service Models and What Each One Supplies

Our Bronze, Silver and Gold mobile-bar packages have a three-hour minimum. Bartender-only service starts at $450, allows shorter bookings and has no three-hour minimum.

Bronze starts at $750 and is best for up to 70 guests, with two signature cocktails and one bartender. Silver starts at $1,150 and is best for up to 120 guests, with three signature cocktails and two bartenders. Gold is custom quoted for 120+ guests, with four signature cocktails, two or more bartenders, soft drinks and water, a signature refreshment and a fully custom cocktail menu.

Glassware and Drinkware Alternatives

Choose the menu first, then the drinkware. Tall mixed drinks, wine and spirit-forward cocktails may need different vessels, but a simple menu can often use fewer styles.

  • Rental glassware: Confirm venue permission, delivery and pickup, breakage terms and whether glasses are returned dirty or washed.

  • Disposable cups: Check that the size suits the recipe and leaves room for ice. Keep backup cups dry and accessible.

  • Compostable cups: Confirm that the venue's waste provider accepts the specific material. A compostable label alone does not establish the right disposal route.

For a host-supplied bar, estimate new cups from expected servings and your reuse plan, then account for spills or abandoned cups. Include water and alcohol-free drinks. For a BeeHive package, confirm any request for different drinkware in the proposal before ordering a second supply.

Mixers, Syrups, Juices and Garnishes

Build the shopping list from recipes. You do not need every type of soda or juice if the menu uses only two cocktails.

Worked example: mixers for 60 planned cocktail servings

Suppose one chosen recipe uses 3 fluid ounces of juice and ½ fluid ounce of syrup per drink. For 60 servings, that is 180 fluid ounces of juice and 30 fluid ounces of syrup. If the juice comes in 64-ounce containers, three containers provide 192 fluid ounces. A 32-ounce bottle of syrup covers the recipe total.

This is purchasing arithmetic for an example recipe. Check the actual recipe, expected mix of drinks, available package sizes and any agreed backup stock before ordering. It does not calculate alcohol, ice, garnishes or separate alcohol-free drinks.

For each cocktail, write down its mixer, juice, syrup and garnish, the amount per serving and the expected number of servings. If two drinks share an ingredient, combine their totals before rounding up to whole containers.

Plan standalone water and alcohol-free drinks separately from cocktail mixers. Gold includes soft drinks and water plus a signature refreshment. Soft drinks and water can otherwise be added at $3 per drink.

Keep ingredients in labeled, covered containers and follow their storage instructions. Use clean preparation tools, wash produce before cutting and arrange cold storage for ingredients that need it. The FDA's safe food handling guidance provides practical advice on cleaning and chilling.

Ice Planning and Insulated Storage

List serving ice and chilling ice separately. Serving ice goes into drinks; chilling ice surrounds bottles or cans. Keep the two supplies separate during use.

  • Choose ice that suits the drinks, such as cubes for a highball or crushed ice for a recipe that calls for it.

  • Use clean, covered containers and dedicated ice scoops or tongs.

  • Store backup ice in insulated containers and confirm access to restocking.

  • Agree where meltwater can be drained without creating a spill or disposal problem.

Bartender Tools and Smallwares

A practical kit follows the menu. Common tools include a shaker, suitable strainers, a jigger, bar spoon, bottle opener, wine key, ice scoop or tongs, cutting board, knife and citrus juicer.

Keep backup measuring and straining tools available where useful, and label any ingredient bottles clearly. The number of working kits should follow the number of bartenders and stations.

Disposables, Sanitation and Waste Handling

Count napkins, straws and picks alongside cups. Keep working stock at the station and backups in a dry tote. Check the venue's rules for disposable materials before buying.

Confirm accessible handwashing facilities with water, soap and hand-drying supplies, as well as appropriate cleaning supplies and wastewater disposal. The setup must suit the venue and event; a generic container list does not establish that requirements are met.

Agree who brings lined waste bins, replaces bags and removes the bar waste. Separate recycling or compost only where the venue accepts the material. If public-event or food-facility questions apply, confirm the event's requirements with Orange County Environmental Health.

Storage, Transport and On-Site Setup

Pack cold items in appropriate covered storage, protect breakable drinkware and secure containers for transport. Keep napkins, tools and dry goods separate from melting ice. Labeled totes make unloading and restocking easier.

For alcohol quantities, use the guests who may drink, service hours and expected beer, wine and cocktail shares. Keep mixers, water, alcohol-free drinks, ice, garnishes and a separate toast on their own lines. Inventory estimates are purchasing guidance, not consumption recommendations.

Right-Sizing Your Supplies and Getting a Quote

Before finalizing the list, confirm the guest count, menu, hours and service model. Use the bartender staffing calculator as a planning input, then confirm staffing and equipment in the proposal.

  • When should final menu, guest-count and supply changes be confirmed?

A 25% deposit confirms the booking, and the proposal states the remaining balance and deadline. Extra service hours are $100 per hour per bartender. A 20% gratuity applies if tip jars are not permitted; travel fees may apply for select surrounding areas.
