A wedding bar can do more than match your flowers. It can introduce your favorite drinks, give guests an easy place to gather, and make sure everyone has something they want to order. The best ideas combine a personal touch with a menu and layout your bartending team can serve comfortably.

Start with your venue, total guest count, service hours and preferred drinks. Use the number of guests who may drink alcohol for alcohol purchasing; include everyone when planning staffing, water, alcohol-free choices and space.

1. Give your reception two signature drinks

Choose drinks that tell guests something about you without asking them to study a long menu. You might pair a bright citrus cocktail with a richer apple-and-bourbon drink, or build both around a favorite ingredient.

Include plain descriptions beneath playful names: the main spirit, key flavors and whether the drink is refreshing, tart or spirit-forward. Discuss the recipes and garnishes with us before finalizing the menu so they work for your service schedule as well as your taste.

Two drinks are a starting idea, not a limit on every package. Your proposal confirms the final menu.

2. Offer a hosted bar with a focused classics menu

A hosted or open bar means guests are not paying for each drink. It does not have to mean stocking every spirit or offering every cocktail.

If your guests have varied preferences, agree on a manageable selection of classics alongside beer and wine. A margarita, a simple highball and your signature drinks may provide the range you want without an extensive back bar. Confirm which requests the team can accommodate with the ingredients and service included in your proposal.

Plan for the busiest moment, such as everyone arriving after the ceremony. The same guest count can require a different service plan when orders arrive together rather than gradually.

3. Make wine and the toast feel intentional

A focused wine selection suits a reception where dinner and conversation take the lead. Choose a white, a red and, if wanted, a sparkling option with your meal and guests in mind. Coordinate purchases with the caterer rather than trying to cover every style.

Plan the toast separately, including alcohol-free participants. For example, our Champagne Toast Calculator estimates 10 bottles of sparkling wine and 3 bottles of alcohol-free sparkling drink for 100 guests when 80 receive wine and 20 receive an alcohol-free option. This assumes one 3 US fl oz toast per guest, 750 ml bottles and no liquid reserve. The groups need 240 and 60 US fl oz respectively; each bottle holds approximately 25.36 US fl oz, so each bottle count rounds up separately.

That is 13 bottles and 100 drinking vessels before any glassware reserve. It covers this toast only. Confirm who pours, distributes and clears the drinks, and use the calculator to adjust the pour size or reserve for your event.

4. Curate a small beer selection

For a relaxed garden or backyard reception, choose a few clearly different beers: a familiar lager, a more distinctive style and an alcohol-free choice if your guests want one. A short selection is easier to communicate and divide into purchase quantities than a long list of similar options.

Use that guest figure as planning guidance. The amount you need also depends on service hours, weather and other drinks available. Confirm special requests, including cold brew or additional flavors, rather than assuming they are part of the listed offer.

7. Choose one frozen drink for a summer reception

A Slushie Machine can add a playful detail to a daytime or warm-weather wedding. Choose one flavor that complements your menu, and discuss placement, power and operating conditions with us and the venue.

Our Slushie Machine starts at $215 for 2 gallons of one alcoholic or non-alcoholic signature slushie, serving approximately 30 guests. Additional gallons are $45 each. You purchase any alcohol separately.

If you want both alcoholic and alcohol-free versions, ask what separate equipment and service arrangements would be needed. The standard offer is one flavor; it does not promise simultaneous versions. Keep other drinks available for guests who prefer something different.

8. Make the most of your venue’s existing bar

A venue bar can be the right setting for an intimate reception or rehearsal dinner. Before deciding on bartender-only service, confirm that its workspace, storage and equipment suit the menu and that the venue permits your planned service.

Put the menu where guests can read it before ordering. Keep the line away from entrances, dining access and the dance floor, and decide how a separate toast or Refreshment Station will fit into the schedule.

A second service point may help some events, but it also needs equipment and staffing. Have it quoted as part of the plan instead of assuming an extra table creates a second functioning bar.
