Start with drinking guests, not the full guest list

Count the adults who may drink alcohol. Do not include children or guests who will choose alcohol-free drinks in the alcohol estimate, but make a separate plan for their beverages. If you do not yet have a final RSVP count, use a sensible estimate and update it before purchasing.

Next, note how long alcohol will actually be served. A five-hour wedding reception does not always mean five hours of open-bar service: check your venue timeline, dinner service, and last-call time.

Estimate the number of drinks to stock

Split those drinks across beer, wine, and cocktails

Think about what your guests are most likely to order. A sample mix of 30% beer, 30% wine, and 40% cocktails turns the 350-drink estimate into:

  • 105 beers (30%)

  • 105 glasses of wine (30%)

  • 140 cocktails (40%)

This mix is only an example. A beer-and-wine reception, a cocktail-focused menu, or a guest list with many non-drinkers will call for different quantities. Ask your bartender to review the menu and guest preferences before you buy.

Convert servings into a practical shopping list

Use the serving sizes in BeeHive’s calculator: one beer per can or bottle, a 5 US fl oz wine pour, and a 1.5 US fl oz spirit pour per cocktail. A standard wine or liquor bottle holds 750 ml, about 25.4 US fl oz. Round the final number of bottles up to whole bottles.

Account for what the alcohol total leaves out

A separate champagne toast is not included in the beer, wine, and cocktail mix above. Neither are mixers, water, other alcohol-free drinks, garnishes, or ice.
