Two mobile bar quotes can cover the same event and still include very different things. One might provide bartenders and tools; another might also include the portable bar, ice, mixers and drinkware. Before comparing the totals, make sure you know what each company will bring and what you still need to arrange.
This guide gives you a practical way to compare mobile bar companies for an Orange County wedding, private party or corporate event. Start with your venue and menu, then compare staffing, supplies, time and cost using the same event details.
Start with the bar your venue already has
Ask the venue what is available for your booking: a working bar, suitable cold storage, drinkware, water access and a place to store supplies. A counter alone does not answer all of those questions. Confirm access times, unloading restrictions and who handles waste and used glasses.
Bartender-only service can work well when you or the venue can supply the bar and supporting items. A mobile-bar package is useful when you need the provider to bring the portable bar and its listed service supplies. If you need just the physical bar as well as a bartender, compare that option separately.
Alcohol purchasing is another decision. At BeeHive, both service options are dry hire: you purchase the alcohol using our tailored shopping list. We do not sell, supply, purchase or deliver alcohol. Arrange for your purchase to reach the venue before the agreed setup time. A mobile-bar package can include extensive equipment and supplies while still excluding alcohol.
Compare the same scope in every proposal
Send each company the same event date, venue, guest count, proposed drinks and bar opening and closing times. Then use this checklist to compare the responses. Assign each item to the provider, host, venue or another named vendor before booking.

Mark unclear items as “to confirm” instead of treating them as free or included. Bar setup and cleanup do not automatically include dining-table service, venue-wide cleaning, catering or décor. Ask separately about waste bins and any required handwashing facilities.

Bronze, Silver and Gold include the package’s bar and staffing, ice, coolers, bar tools, plastic glassware, napkins, straws, mixers, garnishes, a custom printed menu, and setup and breakdown. Guest ranges are planning guidance; confirm the team and menu for your event rather than assuming every gathering of the same size needs the same arrangement.
For bartender-only bookings, the optional $150 add-on provides the mobile bar only. It does not add ice, coolers, mixers, garnishes, drinkware or other supplies or services. The standard bartender-only inclusions remain unchanged. If the venue supplies glassware, we can use it as arranged; confirm who delivers, clears and returns it.
Check the cost for your actual service window
Each additional bartender-only service hour is $75. Extra service time for Bronze, Silver and Gold is $100 per hour per bartender. Confirm the quoted service window: a three-hour minimum is not a promise that every starting package price covers a particular event’s full requirements.
For example, assume the starting bartender-only service is suitable for your event, you need four hours of bartending, and you choose the physical bar add-on:
Starting service with a two-hour minimum: $350.
Two additional service hours: 2 × $75 = $150.
Optional mobile bar only: $150.
Illustrative service-and-bar subtotal: $650.
That is not an all-in event price. Alcohol, ice, coolers, mixers, garnishes and drinkware still need a separate budget or confirmed venue provision. Confirm any additional staffing, travel or other applicable charges in the proposal. Compare that complete plan with a package quoted for the same event before deciding which is better value.
For a package extension, one extra hour for two bartenders costs 2 × $100 = $200. State how many bartenders are staying and how long, so both companies price the same extension.
Refreshments should also appear clearly in the quote. Soft drinks and water are $3 per drink when added separately and are included in Gold.
A Refreshment Station starts at $125 with four gallons for approximately 45 guests; additional gallons are $25. A Slushie Machine starts at $215 with two gallons of one flavor for approximately 30 guests; additional gallons are $45.
Two slushie flavors require a second machine station. You purchase any alcohol separately.
Compare staffing against the busiest part of the event
Tell each company how guests will arrive and when demand will peak. A short cocktail-hour rush, several complicated drinks or two separate bars can need a different plan from a relaxed gathering using one station. Include guests ordering mocktails and soft drinks in the count of people using the bar.

For example, a plan with two bartenders, four service hours, one setup hour and half an hour for cleanup totals 2 × (4 + 1 + 0.5) = 11 staff hours. Those are explicit planning assumptions, not a price calculation or a promise about queue times.
Ask whether each quote covers that full schedule and which duties belong to the bartenders. Barbacks, runners, glassware clearing and separate refreshment service should not be assumed to come with a bartender count. A useful proposal explains who handles those tasks.

Review the company and the booking terms
Look for examples of events with a similar venue and service arrangement. Ask who will handle planning, who will be onsite and whether the photographed bar is the one being quoted. Attractive photographs help you judge the style, but they do not establish the equipment list or the experience of the assigned team.
BeeHive’s current booking terms require a 25% deposit to confirm the booking; the proposal states the remaining balance and payment deadline. Tips are optional and appreciated. Tip jars require client and venue approval. We primarily serve Orange County and select surrounding areas, and travel fees may apply.
Have the venue and provider confirm the requirements for your particular event, including any applicable permits, certification and insurance documentation. California ABC states that alcohol servers at ABC-licensed catered events must be RBS trained and certified; see its RBS guidance. A dry-hire label alone does not determine an event’s requirements. Agree on identification checks, responsible service and the event contact who can resolve concerns.
Make the final choice
Choose the proposal that covers the service you need at a cost you understand. Bartender-only may fit a venue with a ready bar and an agreed supply plan. A mobile-bar package may fit a space where you want the provider to bring the bar and listed supplies. Neither choice should leave essential tasks unassigned.
Before paying a deposit, confirm the menu, staffing, service window, supply responsibilities and total charges in writing. If one quote is less expensive, identify exactly what explains the difference and whether you are comfortable taking on the remaining work.
