Hiring an event bartending service starts with one practical question: what does your venue already have, and what do you need the bar team to bring? A staffed venue bar and a mobile bar in a backyard can serve similar drinks, but they need different equipment, supplies and preparation.
BeeHive offers bartender-only service and mobile-bar packages for weddings, private parties and corporate events in Orange County. This guide explains the differences, the current starting prices and the decisions to make before event day.
Both options are dry hire: you purchase the alcohol using BeeHive’s tailored shopping list. BeeHive does not sell, supply, purchase or deliver alcohol. Your proposal sets out the staffing, equipment and other supplies included in your booking.
Choose between bartender-only service and a mobile-bar package
Bartender-only service is a good fit when the host or venue can provide a suitable bar and the necessary supplies. BeeHive provides professional bartending, bar tools, a tailored shopping list, setup and cleanup. You arrange the other items unless the proposal specifically adds them.
A mobile-bar package is useful when you want BeeHive to bring the bar and its listed service supplies. Bronze, Silver and Gold include plastic glassware, napkins, straws, mixers, garnishes, ice, coolers, bar tools, a custom printed menu, setup and breakdown, alongside the bar and bartenders described below.

With bartender-only service, the optional $150 add-on provides the mobile bar only. It does not add ice, coolers, mixers, garnishes, drinkware or other supplies. If you also need those items, compare a mobile-bar package before choosing.

Put the supply responsibilities in writing
A proposal should make it possible to answer “Who is bringing this?” without guessing. Use this checklist once the menu is agreed, especially if the venue, caterer and bar team are all supplying different items.

BeeHive can use host- or venue-provided glassware when arranged. If you rent it, name the person responsible for delivery, checking quantities, clearing and returns. Bar setup and cleanup should not be read as dining-table setup, floral styling, food catering or cleaning the entire venue.
Also confirm access to water, suitable cold storage, waste disposal and any required handwashing facilities. Do not assume bins or handwashing equipment are included unless the proposal says so.
Plan staffing around the busiest part of service
Count everyone who will use the bar, including guests ordering mocktails and soft drinks. Alcohol purchasing uses a different count: the guests who may drink alcohol. A detailed mocktail still takes time to measure, mix and garnish.
BeeHive’s Bartender Staffing Calculator uses a baseline of 60 guests per bartender for cocktails and mocktails. For example, 100 guests using one cocktail-and-mocktail bar gives a starting estimate of two bartenders: 100 ÷ 60, rounded up.
This is an initial estimate, not a service-speed guarantee. Discuss a larger team or a simpler menu if most guests will order immediately after the ceremony, drinks require several preparation steps, or separate bars will be open at the same time. Share the floor plan and the busiest expected service window before staffing is finalized.
Decide who handles water refills, refreshments and used glasses beyond the bar. These duties should have an assigned person rather than silently becoming additional work for the bartender making every drink.
Understand the price with a simple example
For bartender-only service, each hour beyond the two-hour minimum is $75. Assume the starting service is suitable for your event and you want four hours of bartending plus the optional mobile bar:
Starting bartender-only service: $350
Two additional hours: 2 × $75 = $150
Optional mobile bar only: $150
Illustrative starting subtotal: $650
That subtotal still excludes host-purchased alcohol and the ice, coolers, mixers, garnishes, drinkware and other supplies that bartender-only service does not include. Any additional staffing, travel, gratuity or other applicable charges must be confirmed in the proposal. This is a worked example using published starting rates, not an event quote.
Extra service hours for Bronze, Silver and Gold are $100 per hour per bartender. If an agreed package has two bartenders and you extend both by one hour, the extra service charge is 2 × $100 = $200. Confirm the original service window and any extension before adding hours.
Soft drinks and water are $3 per drink and are included in Gold. The Refreshment Station starts at $125 and is also included in Gold; a Slushie Machine starts at $215. Confirm the chosen drink, quantities, power needs and setup in your proposal. If you want two slushie flavors, book a second Slushie Machine station: each station serves one flavor.
A 25% deposit confirms the booking. Your proposal gives the remaining balance and payment deadline. A 20% gratuity applies if tip jars are not permitted.
Agree on the menu before buying alcohol
Choose the drinks with your guests and service window in mind. A focused selection of signature cocktails, beer and wine is easier to explain on a menu than a long list of unrelated recipes. Include an appealing alcohol-free option and make water easy to find.
Once the menu is agreed, use the tailored shopping list to purchase the alcohol. Arrange for it to be at the venue at the agreed time, and confirm who can access it during setup. BeeHive does not collect or deliver that purchase.

For bottle arithmetic, a 750 ml wine bottle contains about 25.4 US fluid ounces, so it provides roughly five 5-ounce pours. Larger pours reduce that yield. Agree on recipes and serving sizes before converting a drink estimate into a shopping order.
What to expect on event day
The bar team needs a confirmed service location, access instructions and a named event contact. Agree on arrival, bar opening, last call and breakdown times before the event. Setup and cleanup time are separate planning tasks even when they are included in the service.
Before arrival: The host or venue confirms the unloading route, bar location, purchased alcohol and any host-supplied items. Flag stairs, long carry distances or restricted access in advance.
During setup: BeeHive prepares the agreed bar area, tools, menu and included supplies. The host or venue contact resolves missing items and access questions.
When service opens: Bartenders serve the agreed menu. The coordinator or host communicates changes to the schedule, while separately assigned staff handle catering and guest-table duties.
Throughout service: The team monitors the bar’s supplies and keeps the work area organized. The proposal should identify who refills separate refreshment points and collects used drinkware around the venue.
At closing: Follow the agreed last-call time, then complete bar breakdown and cleanup. Confirm where the host wants remaining alcohol and who handles rentals and venue-wide waste removal.
Keep the guest queue away from doors, dining routes and catering access. Keep serving ice separate from ice used to chill bottles, with suitable utensils and storage to protect it from contamination. Confirm venue rules and alcohol-service responsibilities
Tell BeeHive and the venue whether the event is private, public, ticketed or a fundraiser, and whether any payment is tied to alcohol. Those details matter when checking the event’s requirements; hiring a bartender alone does not settle them.

Confirm any applicable licensing, permits, certification and insurance requirements with the venue, the responsible provider and ABC or the relevant local authority before finalizing the plan.
