Use the range with your actual menu and round to the caterer's tray sizes. Large sliders, dips and shared platters need their own serving estimates. This is an appetizer plan, not a full buffet calculation.

How the estimate works

For appetizers before a meal, the range is 4–6 individual pieces per guest for the appetizer period, following Cornell Cooperative Extension guidance. Extending that period does not automatically multiply this pre-dinner range; a long wait before dinner calls for a revised menu.

For an appetizer-only event, Washington State University Catering suggests 6–10 pieces per guest in the first hour plus 4–6 in each additional hour. The calculator scales partial hours proportionally as a planning assumption.

For a party longer than three hours, discuss a fuller meal with your caterer. The calculator continues to show the arithmetic range, but increasing a bite count alone does not produce a complete meal plan.

Multiply the per-person range by the guest count, apply an optional reserve percentage and round up to whole pieces. Both ends of the range are shown so you can account for bite size, meal timing and your audience.

A single piece means one individual serving, such as one stuffed mushroom or one small skewer. A platter, dip bowl or large slider does not translate cleanly into the same unit. Ask the caterer how many people those dishes serve.

Build the menu around substantial and lighter options, label dietary choices and confirm the serving count for each tray. Keep a separate plan for children or guests with specific requirements when their portions differ from the main order.

A practical example

For 50 guests, appetizers before dinner produce a starting range of 200–300 pieces. For a two-hour appetizer-only party, the range becomes 500–800 pieces. A 10% reserve changes that second order to 550–880 pieces, before rounding to your caterer's tray quantities.
