How we calculated this
- Drink ice = guests × pounds per guest. The starting value is 1 lb per guest for a two-hour event, not per hour.
- Add extra ice for melting if needed, then add ice for coolers separately.
- We round the combined amount up to whole pounds, then whole bags of your selected size.
- Adjust for your event length, menu, and weather with your bartender. Keep drink ice separate from cooler ice.
See an example
100 guests × 2 lb = 200 lb of drink ice. Add 25% for melting and 35 lb for coolers: 285 lb. With 20 lb bags, buy 15 bags (300 lb). These settings are an example, not the defaults.

How many bags of ice do I need for 100 guests?
For a two-hour event, the starting estimate is 100 lb: ten 10 lb bags or five 20 lb bags. Add cooler ice and extra for melting if needed. For longer events, check the amount with your bartender.
Does this include ice to chill beer and wine?
Only if you add it under “Bag size & extra ice.” Ice for keeping bottles cold is separate from ice used in drinks. Chilling bottles before the event can reduce how much you need.
How much extra ice is needed for an outdoor party?
It depends on the heat, shade, coolers, and how often they are opened. Use “Extra for melting” to try a larger amount, then confirm it with your bartender or ice supplier.
