Your wedding bar budget has two main parts: the service you book and the alcohol you buy. Start by deciding what your venue already provides, then compare quotes for the same menu, staffing and service hours.
Our bartender-only service starts at $350 with a two-hour minimum. Bronze mobile-bar packages start at $750, and Silver starts at $1,150. Bronze, Silver and Gold require a three-hour minimum. These are starting prices; your proposal confirms the service hours, staffing and total for your wedding.
BeeHive is a dry-hire service. You purchase all alcohol using our tailored shopping list. We do not sell, supply, purchase or deliver it.
Choose the service that fits your venue
Bartender-only service can suit a venue with an existing bar and supplies already arranged. A mobile-bar package brings more of the setup together, which can be useful for a backyard, private estate or venue without a permanent bar.
| Service | Starting price and minimum | Planning guidance |
|---|---|---|
| Bartender-only | $350; two-hour minimum | Professional bartending, bar tools, a tailored shopping list, setup and cleanup. Arrange the bar and other supplies separately unless added to your proposal. |
| Bronze | From $750; three-hour minimum | Up to 70 guests; one bartender, mobile bar and two signature cocktails. |
| Silver | From $1,150; three-hour minimum | Up to 120 guests; two bartenders, large mobile bar and three signature cocktails. |
| Gold | Custom quote; three-hour minimum | 120+ guests; two or more bartenders, a custom-styled bar and four signature cocktails. Includes soft drinks, water and a Refreshment Station. |
Bronze, Silver and Gold also include ice, coolers, bar tools, mixers, package-specific garnishes, plastic glassware, napkins, straws, a printed menu, and complimentary setup and breakdown. Guest counts are planning guidance; we tailor staffing to your event.
Optional mobile bar add-on — $150: Available only with bartender-only service for clients who would like BeeHive to provide the mobile bar. This add-on includes the mobile bar itself only. It does not include ice, coolers, mixers, garnishes, drinkware or any other additional supplies or services. The standard bartender-only service inclusions remain unchanged. If your venue or rental company provides glassware, coordinate the quantities and handling with us.

What a longer service window costs
Use the hours the bar will actually serve guests. A reception lasting five hours does not necessarily need five hours of bar service, and a separate cocktail hour must be included if the bar is open then.
For a bartender-only booking priced at the advertised starting rate, the examples below add $75 for each hour after the two-hour minimum. They assume the same staffing and scope throughout; they are service estimates, not complete wedding quotes.
| Bar service | Calculation | Starting service estimate |
|---|---|---|
| 2 hours | $350 minimum | $350 |
| 3 hours | $350 + $75 | $425 |
| 4 hours | $350 + 2 × $75 | $500 |
| 4 hours, with optional mobile bar | $500 + $150 | $650 |
Alcohol, other physical supplies, travel, gratuity and any other proposal-specific charges remain separate from those examples.
For Bronze, Silver and Gold, additional service time is $100 per hour per bartender. If your confirmed proposal assigns two bartenders, adding one hour means 2 × $100 = $200 in extra service charges. Add that to the quoted price; do not assume the package minimum tells you how many hours a particular quote includes.
Match staffing to the menu and busiest moments
Count everyone who will order at the bar, including guests choosing alcohol-free drinks. Then consider how complicated the drinks are, how many bars will operate and whether most guests will arrive at once.
Our bartender staffing calculator uses a starting baseline of one bartender per 60 guests for cocktails and mocktails, or per 75 guests for beer, wine and soft drinks, rounded up. For 120 guests using one cocktail bar, the baseline is 120 ÷ 60 = two bartenders.
That estimate is a starting point. Several made-to-order cocktails, multiple stations or a concentrated post-ceremony rush may need a different plan. Share the timeline and menu before deciding staffing; a lower headcount is not a saving if it creates long waits.
Keep alcohol purchases on a separate budget line
Alcohol shopping starts with the number of adults who may drink alcohol, the bar hours and your planned beer, wine and cocktail mix. Your staffing headcount and alcohol-shopping headcount may therefore be different.
Here is a checked example using our wedding alcohol calculator: 100 drinking guests, four hours of service, the “Hourly + 1 extra” setting, 40% beer, 40% wine and 20% cocktails. With 5 US fl oz wine pours and 1.5 US fl oz of spirits per cocktail, the estimate is 100 × (4 + 1) = 500 planned servings.
| Drink type | Allocated servings | Rounded purchase quantity |
|---|---|---|
| Beer | 200 | 9 packs of 24; 216 individual servings |
| Wine | 200 at 5 US fl oz | 40 bottles of 750 ml |
| Cocktail spirits | 100 at 1.5 US fl oz | 6 bottles of 750 ml |
At 2 US fl oz of spirits per cocktail, the same 100 cocktails require eight 750 ml bottles. A 750 ml bottle contains about 25.36 US fl oz, so pour size changes the yield. For multi-spirit cocktails, divide purchases using the actual recipes rather than treating every ingredient as a full spirit pour.
These are inventory assumptions, not consumption recommendations. Whole packs and bottles round up; the calculator adds no separate reserve percentage. Water, alcohol-free drinks, mixers, ice, garnishes and a separate champagne toast need their own plan. Check your package before buying supplies it already includes.
To turn quantities into an alcohol budget, multiply each bottle or pack count by the price of the products you choose, then add applicable checkout charges. Ask the retailer about its return policy and the venue about outside-alcohol rules or corkage before purchasing.
Allow for add-ons and payment terms
Soft drinks and water: $3 per drink when added separately; included in Gold.
Refreshment Station: starts at $125 for four gallons of one house-made drink option, serving approximately 45 guests. Additional gallons are $25 each. Included in Gold.
Travel: we primarily serve Orange County and select surrounding areas. Travel fees may apply; confirm them for your venue.
Gratuity: tips are appreciated. A 20% gratuity applies if tip jars are not permitted; your proposal should make the calculation clear.
Deposit: a 25% deposit confirms the booking. This is a payment toward the booking, not an extra service fee. Your proposal states the remaining balance and payment deadline.

A quote checklist you can use
Before comparing totals, put both proposals on the same basis:
You and your planner: confirm the guest count, bar opening and closing times, menu, and any separate toast.
The venue: confirm outside-alcohol rules, bar location, load-in access, available equipment and tip-jar policy.
BeeHive: confirm the service option, bartender count, included equipment and supplies, extra-hour rate, travel and payment terms in the proposal.
You, the venue or your rental supplier: assign every item outside the selected service, including any glassware, chilling equipment, water or alcohol-free drinks.
You: purchase alcohol using the tailored list and arrange its availability at the venue before service.
A bartender-only quote may start lower but leave more supplies for you to coordinate. A mobile-bar package may cover items you would otherwise rent or buy. Compare the complete cost and responsibilities for your wedding before choosing.
Share your wedding date, venue, guest count, service hours and menu ideas when you request a BeeHive quote. We will help you choose a service plan that fits the celebration.
