A mobile bar service brings bartending to your celebration. What arrives with the team depends on the service you book: a full package includes the portable bar and listed supplies, while bartender-only service can work with a suitable existing setup.
For an Orange County birthday, wedding or company event, a clear proposal should answer three questions: what will BeeHive bring, what do you need to arrange, and how will the bar operate at your venue? This guide walks through those decisions, from comparing options to preparing for event day.
Understanding Your Service Options
Our Bronze, Silver and Gold packages include a portable bar, professional bartending, bar tools, ice, coolers, mixers, garnishes, plastic glassware, napkins, straws, a printed cocktail menu, and complimentary setup and breakdown. These packages require a three-hour minimum; your proposal confirms the quoted service hours.
Bartender-only service starts at $350 with a two-hour minimum. It includes professional bartending, bar tools, a tailored shopping list, setup and cleanup. Before booking, confirm who provides the physical bar, ice, coolers, mixers, garnishes and drinkware. A venue may already supply some items; record any remaining responsibilities in the proposal.
For example, bartender-only service may suit a party at a venue with a suitable bar and agreed supplies. A full package may suit a private celebration where you want BeeHive to bring the portable bar and listed equipment. See our mobile drinks bar guide for more planning detail.
Both options are dry-hire: you purchase the alcohol using our tailored shopping list. BeeHive does not sell, purchase or deliver alcohol.

Comparing Packages and Staffing
Use the package guidance as a starting point, then consider your menu, arrival pattern and venue layout together.

Bronze includes a mobile bar and standard garnishes. Silver adds a large mobile bar and premium garnishes. Gold includes a custom-styled bar, fully custom cocktail menu, premium garnishes and presentation, soft drinks, water and a Refreshment Station. The shared full-package supplies are listed above.
Guest counts are guidance, not a guarantee that a particular team will suit every event. A short cocktail hour with many guests ordering together can need a different plan from a party with staggered arrivals. Tell us about complex drinks, separate bar locations and guests ordering alcohol-free drinks so we can confirm staffing in your proposal.

Planning Your Alcohol and Supplies
Start with the guests who may drink alcohol, service hours and the drinks you want to serve. Keep total attendance separate from the number used for alcohol purchasing.
Here is one worked example using our Wedding Alcohol Calculator, which can also help with party planning.
Assumptions: 100 total guests, including 70 who may drink alcohol; four hours of bar service; the “Hourly + 1 extra” setting; 30% beer, 30% wine and 40% cocktails; 5 oz wine pours and 1.5 oz total spirits per cocktail.
The estimate is 70 × (4 + 1) = 350 planned alcoholic servings.

These are inventory estimates, not recommendations to consume that amount. The spirit total assumes 1.5 oz of spirits per cocktail; recipes with a larger combined spirit measure need recalculation. Splitting purchases across different spirits and rounding each to full bottles can increase the bottle count.
The alcohol estimate excludes mixers, ice, water, alcohol-free drinks, garnishes and a separate toast. Plan those separately for your menu, and provide appealing alcohol-free choices for all guests. For a full package, confirm the listed supplies with BeeHive before making duplicate purchases.
For bartender-only service, use this checklist to settle responsibilities:

Using the Planning Tools
The alcohol calculator supports hourly and hours-plus-one assumptions, 750 ml bottles, beer 24-packs and a choice of 1.5 oz or 2 oz spirit pours. Match those settings to your menu and actual container sizes. It does not add an automatic percentage reserve.

Ice already included in a full package should be coordinated with BeeHive; a calculator result is not automatically an extra purchase for the host.

Adding Extras and Service Time
Include extras in the proposal so their quantities and service arrangements are clear.

The Refreshment Station offers a choice such as house-made lemonade, infused water, iced tea or a seasonal refreshment. The Slushie Machine can serve an alcoholic or non-alcoholic flavor; you purchase any alcohol separately. Confirm custom mocktails, special drinkware and other requests during menu planning.
Booking and Preparing for Event Day
Send your event date, city or venue, guest count, event type and requested service hours. Include your preferred drinks, alcohol-free needs, any supplies the venue provides, and restrictions that may affect setup or service. We primarily serve Orange County and select surrounding areas; travel fees may apply.
Before confirming, review the service option, staffing, menu, quoted hours, supply responsibilities and add-ons together. A 25% deposit confirms the booking. Your proposal states the remaining balance and payment deadline. Tips are appreciated; a 20% gratuity applies if tip jars are not permitted.
Agree on these event-day details with BeeHive and the venue:
When the team can enter and where the bar will be placed.
Who will have the host-purchased alcohol available and where it will be stored.
When drink service starts and ends, including any separate toast.
Who the on-site contact will be if plans change.
What setup, breakdown and cleanup arrangements the proposal covers.
Confirm setup, breakdown and cleanup duties in the proposal. Bar service should not be assumed to cover general event cleanup.
