A bar works best when it fits the way guests will spend their time. A wedding might need a welcoming cocktail hour and a coordinated toast. A daytime family party may be better served by mocktails and refreshments. For a backyard celebration with a suitable bar already in place, a bartender and a well-organized supply list may be enough.
Start with the occasion, the drinks your guests will want and the hours you need service. Then choose one main format and any extras that serve a clear purpose. These eight bar event ideas can help you compare the experience with the space, supplies and budget behind it.
BeeHive Mobile Bar primarily serves Orange County and can travel to select surrounding areas in Southern California; travel fees may apply. We operate on a dry-hire basis: you purchase and provide the alcohol using our shopping list. BeeHive does not buy, sell or deliver alcohol.
1. Welcome guests with a signature cocktail hour
A short, distinctive menu gives guests an easy starting point at a wedding, engagement party or anniversary. Choose drinks with different flavor profiles, such as a bright citrus cocktail and a less-sweet option, and discuss an alcohol-free choice during planning. Shared ingredients can simplify purchasing, but every drink still needs a measured recipe.
For a hypothetical 90-guest engagement party, Silver is a useful package to discuss: it starts at $1,150, includes two bartenders and three signature cocktails, and lists guest guidance of up to 120. Staffing is tailored to the event. Bronze, Silver and Gold all require a three-hour minimum, even if the featured cocktail hour lasts only one hour.
Agree on what the bar serves during the remaining booked time. Confirm how mocktails fit the menu rather than assuming they add unlimited extra selections. The mobile-bar packages include a custom printed menu; our cocktail menu examples can help you choose a format.
2. Make mocktails part of the main celebration
A mocktail bar suits baby showers, daytime parties, family gatherings and events where guests have different drinking preferences. Give alcohol-free drinks clear names and ingredient descriptions so guests can choose without guessing.
A sample baby-shower menu could pair a cucumber-lime drink with a berry refresher. These are ideas to discuss, not a fixed BeeHive menu. If the event must be completely alcohol-free, check the labels of specialty bottled ingredients as well as the finished recipes.
BeeHive’s mobile-bar packages include mixers, ice, coolers, garnishes and plastic glassware. Specialty products and the final menu still need to be agreed. With bartender-only service, assign those supplies to the host unless the proposal says otherwise. See our mocktail bar ideas for more menu and serving examples.
3. Add a frozen slushie station
A frozen fruit drink can be a useful feature at a summer birthday or backyard gathering. Choose an alcoholic or non-alcoholic version before finalizing the supply list. For an alcoholic version, the host provides the alcohol.
BeeHive’s Slushie Machine add-on starts at $215 and includes 2 gallons of one flavor, with website guidance of approximately 30 guests. Additional gallons are $45 each. Two flavors require a second Slushie Machine station; confirm that station’s price and quantities in the proposal.
For a volume example, 2 US gallons equal 256 fluid ounces, or 32 measured 8-fluid-ounce portions before losses or refills. That is a portion calculation, not a promise of unlimited drinks for 30 guests. Agree on serving size, power, placement, setup and freezing time, refills, and who dispenses the drinks. Do not assume the machine will be self-serve.
4. Plan a sparkling toast
A toast gives everyone a drink to raise at one moment without creating another full drink menu. Count it separately from the rest of the bar plan, and include guests choosing an alcohol-free sparkling drink.
Worked example: 60 guests, one 3-US-fluid-ounce toast each, with an illustrative 10% liquid reserve. Suppose 48 guests choose sparkling wine and 12 choose an alcohol-free option. Calculate and round each type separately:
| Toast drink | Volume including reserve | 750 mL bottles |
|---|---|---|
| Sparkling wine: 48 guests | 48 × 3 × 1.10 = 158.4 fl oz, about 4.68 L | 7 bottles (5.25 L) |
| Alcohol-free sparkling: 12 guests | 12 × 3 × 1.10 = 39.6 fl oz, about 1.17 L | 2 bottles (1.50 L) |
The total is nine bottles because each drink type must be rounded up separately. Different pours, guest choices or reserve amounts change the order. Use BeeHive’s Champagne Toast Calculator for your own numbers.
Assign bottle purchasing and chilling, confirm 60 toast vessels plus any spares, and tell the bar team when speeches begin. Arrange real glassware with the venue or another agreed supplier if desired; BeeHive’s standard package drinkware is plastic glassware. Pour close to the toast rather than leaving drinks out long beforehand.
5. Ask about a small cocktail flight
A flight can suit an intimate birthday or anniversary where guests want to compare flavors. Treat it as a custom format to discuss with BeeHive, not a standard package inclusion or a confirmed tasting service.
Start with a small number of recipes and agree on the finished volume and alcohol quantity in each sample. Three small glasses do not automatically contain less alcohol than one full cocktail. The measured recipes determine the shopping list.
For an illustrative 20-person tasting with three samples each, plan for 60 sample servings. Confirm whether you need 60 individual vessels or an agreed washing and reuse arrangement, as well as staffing, presentation and any extra charges. Standard cocktail settings in the alcohol shopping calculator will not give an exact flight inventory when the recipes or pour sizes differ.
6. Give daytime refreshments their own station
A Refreshment Station offers an easy pour during arrivals, outdoor activities or a meal. BeeHive’s self-serve option starts at $125 and includes 4 gallons, with website guidance of approximately 45 guests. Additional gallons are $25 each. Choose house-made lemonade, infused water, iced tea or a seasonal refreshment with BeeHive.
Confirm the selected drink, dispensers and presentation rather than assuming several flavors are included. Four US gallons contain 512 fluid ounces: that is 64 measured 8-fluid-ounce portions before losses or refills. The website’s guest guidance and this portion example answer different questions; the length of the event and repeat servings still matter.
The Refreshment Station is included in Gold. Soft drinks and water are also included in Gold; outside Gold, soft drinks and water cost $3 per drink. That per-drink charge is separate from the Refreshment Station’s gallon-based pricing.
Assign someone to check the station and agree on refill arrangements, reserve quantities and opening hours. Place it where guests can reach it without blocking the main bar or a doorway.
7. Use bartender-only service for an existing backyard bar
If you already have a suitable bar or work surface and can organize the supplies, bartender-only service may fit. BeeHive starts at $350 with a two-hour minimum, plus $75 per additional hour. It includes bar tools, setup and cleanup of the bartending area, and a shopping list.
The host provides the alcohol, mixers, ice, coolers, drinkware, garnishes, other drinks and supplies, plus the work surface. The optional $150 mobile bar add-on provides the bar itself only; it does not add package supplies or extra services.
For a three-hour example, the stated starting service charge is $350 + $75 = $425. Adding the optional mobile bar brings that to $575 before host-purchased supplies, alcohol and any other quoted charges. Compare the complete cost and preparation work with Bronze’s $750 starting price and three-hour minimum. A lower service price does not by itself mean a lower total event cost.
8. Connect the menu to a brand event
For a product launch, grand opening or client event, choose a drink name and flavor that fit the campaign. Keep the description short enough that guests can order easily. An alcohol-free choice can carry the same theme without copying an alcoholic recipe ingredient for ingredient.
Bronze, Silver and Gold include a custom printed menu. Confirm the design details with BeeHive and supply approved logos or wording when relevant. Branded cups, bar wraps, extra signs and giveaway items are separate requests, not automatic inclusions.
Name one person to approve the menu and coordinate with the bar team. Agree on who purchases alcohol and any additional materials, and check the venue’s requirements for the specific event format before booking. An invitation-only company gathering and a public promotion may need different arrangements.
Choose the format that meets your main need
| Main need | Idea to discuss | Key decision before booking |
|---|---|---|
| A welcome at a reception | Signature cocktail hour | Featured menu, complete service window and three-hour package minimum |
| Appealing alcohol-free choices | Mocktail bar | Recipes, ingredient labels and supply responsibilities |
| A frozen drink feature | Slushie station | One flavor per station, portions, power and dispensing |
| One shared moment during speeches | Sparkling toast | Separate counts for wine and alcohol-free pours, vessels and timing |
| A small tasting experience | Custom cocktail flight | Availability, measured samples, vessels, staffing and price |
| Simple drinks during the day | Refreshment Station | Drink choice, gallons, placement and refill responsibility |
| Professional help at an existing bar | Bartender-only service | Complete host supply list and suitable work area |
| A drink linked to a campaign | Brand event menu | Menu approval, extra materials and venue requirements |
Match the idea to the service
Bronze starts at $750 with one bartender and two signature cocktails, with guest guidance of up to 70. Silver starts at $1,150 with two bartenders and three signature cocktails, with guidance of up to 120. Gold is custom-quoted for 120+ guests, with two or more bartenders and four signature cocktails, plus soft drinks, water and a Refreshment Station. These guest counts guide planning; staffing is tailored to the event.
All three mobile-bar packages require a three-hour minimum and include a mobile bar, bar tools, ice, coolers, mixers, garnishes, plastic glassware, napkins, straws, setup and breakdown, and a custom printed menu. Bar size and garnish presentation vary by tier. Additional service hours cost $100 per hour per bartender. Bartender-only service has the separate rates and host supply responsibilities described above.
Turn the idea into a short event plan
Before finalizing the proposal, put these decisions in one place:
| Decision | Who confirms it | What to record |
|---|---|---|
| Guests and menu | Host and BeeHive | Total guests, expected drink choices, agreed recipes and separate toast count |
| Service schedule | Host or planner and BeeHive | Access, setup, bar opening, toast, last service and breakdown times |
| Purchases and supplies | Host and BeeHive | Who provides each item; host-purchased alcohol; specialty ingredients and glassware |
| Space and equipment | Venue, host and BeeHive | Bar location, clear guest routes, equipment access and any power requirements |
| Refills and extras | Host and BeeHive | Reserve quantities, refill responsibility, extra stations and quoted charges |
For example, a 5–8 p.m. booked bar service might feature welcome drinks from 5–6 p.m., the agreed menu during dinner, and a separately counted toast at 7:30 p.m. Confirm setup access and breakdown outside those serving hours, and agree in advance on any extension. The schedule is a planning example, not an automatic package arrangement.
